What is a Room?

A Room refers to an individual accommodation unit offered to guests, such as a hotel room, villa, suite, or cottage. Each room is uniquely identified, managed, and maintained within the system. Rooms are the core units assigned to guests for their stay, and they can be customized with specific attributes like room number/name, description, unique room identification tag, room ype and location.


How to create a Room?

  1. Navigate to your workspace

    • Log in to your desktell account using proper credentials.
    • Click on your workspace link to enter the workspace.
  2. Navigate to the Rooms section

    • Click on the Rooms in the top navigation bar.

3.Create a new room

  • Click on the Add Room button at the top.
  • Fill in the necessary details:
    • Room Name/Number: Enter a suitable room name or room number for identification of the room.
    • Room Description: Enter a suitable description for a room to specify its purpose (guest room, conference hall, etc.)
    • Room tag: Assign a unique tag to the room.
    • Room Type: Select an appropriate room type from the dropdown list according to the room (Standard, Suite, Deluxe, Executive, etc)
    • Room status: Select the appropriate staus for the room.
    • Room location: Select the location where the room is located.
  • Click on the Save button to create a new room.

NOTE:

  1. The room type, location, and room status should be present in the workspace (i.e. already created) for them to be visible in the dropdown list for room creation.
  2. To create a location
    • Click on the Administration tab in the top navigation bar.
    • Click on the Location tab in the side navigation bar.
    • Click on the New Location button, and fill in the necessary details.
    • Click on the Save button to create a location.

How to deactivate a room?

If a room is either unavailable for use or undergoing maintenance, it may be deactivated through the deskell portal.

  • To deactivate a room, follow the following steps:

    1. Navigate to the Rooms tab in the top navigation bar
    2. Click on the Active toggle button of the room you wish to deactivate, and accept the dialog message.
    3. The room is now deactivated.To activate the room again, follow the same process.
  • To view the deactivated rooms on Deskell, use the filters provided

    1. On the Rooms tab, click on the Filter Rooms dropdown button at the top.
    2. Select In-Active Rooms option from the list.

How to check into a room?

To successfully check a guest into a room, please follow these steps:

  1. Navigate to the Rooms tab in the top navigation bar.
  2. Click the Check-In button for the room where the guest will be checked in.
  3. Fill in the necessary information
    • Room Security Code: The security code is auto-generated by default but can be manually updated.

    • Check Out Date: Specify the date at which the guest will check out from the hotel (either manually or from the calendar option)

    • Check Out Time: Specify the checkout time (to be provided in 24-hour format)

    NOTE:

    1. The Room Security Code is essential for accessing the DeskTell portal via the web. Without this code, guests will be unable to gain entry to the portal after scanning the room QR code.
    2. After the time and date specified during the check-in is expired, the information inside the check-in button is automatically updated.

How to check out of a room?

To check out a guest from a room manually, please follow these steps:

  1. Navigate to the Rooms tab in the top navigation bar.
  2. Click the Check-Out button for the room from which the guest will be checked out.

How to download the QR codes for all the rooms present in the workspace

Each room is assigned a unique QR code that allows guests to access the Desktell service portal with ease. Guests simply scan the QR code and enter their Room’s Security Code (generated dring room check-in) to explore available services and amenities.

  • To download the QR codes for the rooms present in the workspace, follow the following steps:

    1. Navigate to the Rooms tab in the top navigation bar.
    2. Click on the Download Room QR Code button at the top.
    3. Select the appropriate paper size from the dropdown list (A4 or A5) according to the preferences.
  • The QR codes will be downloaded in the pdf file format.

NOTE:

  • The Rooms can be filtered based on their status (Filter Rooms option)
